These terms explain how SMC Floor Fitters Ltd provides flooring installation, removal and subfloor preparation services. They also explain the responsibilities that help us deliver a safe, professional and lasting result.

1. When these terms apply
These terms apply to website enquiries and to work agreed with SMC Floor Fitters Ltd (“SMC”, “we”, “us”). A website estimate is only an initial guide. A contract is formed only when the scope, price and relevant documents are confirmed in writing and accepted by the client.
The written quotation, any agreed specification and these terms should be read together. If there is a conflict, the individually agreed written quotation takes priority for that project.
2. Estimates, surveys and quotations
- Online estimates are based entirely on the information entered and are not binding quotations.
- Final pricing may change after measurement, inspection, moisture or subfloor assessment, material selection and confirmation of access.
- Unless stated otherwise, quotations only include the work, areas, materials and quantities expressly listed.
- Hidden defects or conditions that could not reasonably be identified before lifting the existing floor may require additional work and a written variation.
- A quotation remains open for the period stated on it. Material prices and availability may need reconfirmation after that period.
3. Subfloor preparation, latex and moisture
Floor preparation may include removal, cleaning, local repairs, priming, latex or smoothing compound, plywood or other approved boards, damp-proof systems and compatible adhesives. The suitable method depends on the existing base and the final floor covering.
- A visual inspection cannot guarantee that every hidden defect, movement, contaminant, weak layer, service, leak or moisture issue will be found.
- Latex and smoothing compounds improve a suitable base but do not repair structural movement, active damp, unstable substrates or every level difference unless the agreed system specifically addresses them.
- Product depth, primer, drying time, temperature and moisture limits must be respected. Work may be paused where site conditions do not meet product requirements.
- Additional preparation revealed after lifting the old floor will be explained and priced before it proceeds, except for immediate work reasonably required to make the area safe.
4. Professional recommendations and client-led changes
SMC will explain any preparation or fitting method we reasonably consider necessary for a professional result. The client should not ask us to omit required preparation, use incompatible products or disregard safety or manufacturer requirements.
If a client requests a different solution, we may refuse the request where it would be unsafe, unlawful, technically unsuitable or likely to produce an unacceptable result. Where we agree to a reasonable departure, it must be recorded in writing together with the identified risks.
To the extent permitted by law, SMC is not responsible for a defect or loss that is directly caused by a client’s documented decision to disregard our recommendation, by client-supplied unsuitable materials, or by another contractor’s work. This does not remove any legal right the client has where SMC has failed to use reasonable care and skill.
5. Client responsibilities
The client must, where reasonably applicable:
- provide accurate measurements, project details and access information;
- provide safe, reasonable access, electricity, lighting, ventilation and water where required;
- clear rooms and protect or remove valuables unless furniture moving is included in writing;
- identify known pipes, cables, underfloor heating, alarms, asbestos, damp, leaks, structural problems and other hidden risks;
- ensure other trades have completed work that could damage or contaminate the new floor;
- keep children, pets and other persons away from active work areas and comply with drying or no-access instructions;
- provide enough suitable material where it is client-supplied, including reasonable cutting and pattern allowance;
- follow acclimatisation, heating, cleaning, maintenance and aftercare instructions.
Delays, extra visits or additional work caused by incomplete access, incorrect information or an unready site may be charged where the cost is reasonable and explained.
6. Materials and appearance
Natural wood, patterned products and different production batches may vary in colour, grain, texture or shade. Samples and photographs are a guide. The client should approve the selected product before installation.
Client-supplied materials remain the client’s responsibility as to quantity, suitability, condition and manufacturer warranty, although SMC will use reasonable care and will raise obvious concerns before fitting. We may refuse to install visibly damaged or unsuitable material.
7. Variations and additional work
Changes to the agreed work should be approved in writing. We will explain any effect on price and timing before carrying out a variation wherever reasonably possible. Verbal site discussions should be confirmed by text message or email so both parties have a clear record.
8. Dates, access and delays
Start dates and completion periods are reasonable estimates unless expressly guaranteed in writing. Drying times, material availability, hidden site conditions, changes requested by the client, illness and events outside reasonable control may affect the programme. We will keep the client informed and take reasonable steps to minimise disruption.
9. Deposits and payment
The quotation will state the applicable deposit, stage payments and final payment date. Deposits may be used to reserve labour and order materials. Sums retained following cancellation will be limited to amounts permitted by law, including reasonable work performed, non-recoverable bespoke materials and losses that cannot reasonably be avoided.
The client should raise any genuine concern promptly and should not withhold an amount that is disproportionate to the issue. Ownership of materials supplied by SMC does not pass until they are paid for in full, to the extent permitted by law.
10. Cancellation rights
Where a consumer contract is agreed at a distance or away from our business premises, a statutory 14-day cancellation right may apply. We will provide the required contract information in a form the client can keep.
If the client expressly asks us to start during the cancellation period and later cancels, the client may need to pay a reasonable amount for work properly completed up to cancellation. The cancellation right may be lost once a service has been fully performed following the client’s express request and acknowledgement, where the law permits.
Any cancellation outside a statutory right should be made as early as possible. We will take reasonable steps to reduce avoidable loss and will explain any fair charge.

11. Workmanship, inspection and concerns
We will provide our service with reasonable care and skill. The client should inspect the work when reasonably possible and notify us promptly of any concern, with photographs where helpful. We must be given a reasonable opportunity to inspect and, where appropriate, repeat or correct our work before another contractor alters it.
This does not affect statutory remedies, including rights relating to repeat performance or an appropriate price reduction where applicable. Manufacturer warranties remain subject to their own conditions.
12. Matters outside our responsibility
SMC is not responsible for ordinary product variation, normal settlement or movement, pre-existing structural or moisture conditions, damage caused after completion, incorrect maintenance, leaks, temperature or humidity outside product limits, client-supplied unsuitable products, or work altered by others — except to the extent the issue was caused by our failure to use reasonable care and skill.
Nothing in these terms excludes liability that cannot legally be excluded, including liability for death or personal injury caused by negligence, fraud, or the client’s statutory consumer rights.
13. Project photographs
We may ask permission to photograph completed work. Images will only be used for our portfolio or marketing where permission has been obtained. We will avoid publishing personal information, addresses or identifiable people unless separately agreed. Permission can be discussed before work begins.

15. Website
Website content and calculator results are general information, not a substitute for a site assessment. Availability, material costs and guide rates may change. Reasonable efforts are made to keep information accurate, but the written project quotation is the authoritative document.
16. Governing law
These terms are governed by the law of England and Wales. A consumer keeps any mandatory right to bring proceedings in another UK jurisdiction where applicable. If one term is found unenforceable, the remaining terms continue to apply.
